Internal Service Advisor

Reports to:  Service Manager


 Every service professional at a MINI retail center must excel in listening, communicating and working efficiently to MINI's exacting standards.

Service Advisors help MINI owners care for their cars and understand the value of maintaining their vehicles in accordance with MINI factory guidelines. As a driver's personal link to the Aftersales department, the MINI Service Advisor establishes a critical and ongoing relationship with MINI owners.  Come join our award-winning team at The BMW Store and Cincinnati MINI, where Passion Loves Company.

 Purpose of position:

 This position within Cincinnati MINI is responsible for writing internal repair orders.  Also consulting with the customer on service work and vehicle needs in the Service Department and for selling additional needed service to customers.  The Internal Service Advisor is an entry level Service Advisor job that assists the two senior Service Advisors in their day to day activities.

 Qualifications for Position:

  • High school diploma or the equivalent. 
  • Excellent oral and written communication skills
  • Ability to read and comprehend instructions and information
  • General knowledge of vehicle mechanical operations
  • Professional personal appearance

 Duties and Responsibilities:
  • Greet customers in a timely, friendly manner.
  • Correct utilization of shop scheduling software - schedule and coordinate service appointments
  • Correct Pre Delivery Inspection, battery care, and PDI write up procedures.
  • Assist Service Advisors with cashiering, service write up
  • Assist Service Advisors with extended warranty claim write up.
  • Provide Timely Updates to salesperson regarding sold vehicle process
  • Let waiting customers know that they will be helped soon.
  • Create accurate repair orders for customer vehicles and new vehicle inventory with correct serial numbers, telephone numbers and mileage information with customer signature and contact information along with an accurate estimate for check out or approved work.
  • Create and write loaner car contracts for customers
  • Assist with Loaner service work and tracking
  • Provide accurate and understandable explanations of repair work.
  • Test drive with customer or team leader if necessary to ensure proper diagnosis - coordinate with the Service Manager, team leader or other service personnel.
  • Determine time of completion for customer and new vehicle repair orders.
  • Advise customer of early or late delivery, or of additional repairs that may be needed.
  • Call customer throughout the day to let customer know status of car in shop.
  • Indicate on repair order the exact repair instructions, making a special note of the main reason(s) the customer brought the vehicle in. 
  • Written repair orders must be legible.
  • Provide estimates for labor and parts.  If cost of service cannot be established during reception, leave open and contact customer later for approval; this should be the exception, not the rule
  •  Handle telephone inquiries regarding work in progress and appointments

  • Compare final invoices with original repair order quote for accuracy.
  • Deliver vehicle to customer and explain all work that was performed, answer any questions and thank the customer for servicing at Cincinnati MINI
  • Keep all service forms up-to-date
  • Be responsible for quality control, to ensure that work is completed as requested and to reduce comebacks
  • Maintain an organized and clean working environment since you represent The BMW Store & Cincinnati MINI to all customers
  • Work with route sheets so vehicle is tracked through the shop during all processes during the repair process.
  • Follow-up with the customer within 24 hours after pickup and check with customer as to satisfaction with repairs. All calls are logged on the follow-up form and turned into the service manager weekly.


Working Conditions:

The Service Advisor works in the service area, which is in an open garage area.  Position requires stooping, bending and moving throughout the service department.  May lift up to 50 pounds occasionally.  Works with service customers for most of the shift.  The Service Advisor will be exposed to noise, vibration, dust, exhaust fumes, and other hazardous and non-hazardous materials.  Road testing of vehicles also may be required.  The Service Advisor will be required to wear a dealership uniform (MINI or Business Casual shirt, Professional jeans/pants and Casual shoe) at all times.

Valet Driver

Description Cincinnati MINI has an immediate opening for a service valet driver.

Responsibilities include driving our customers from home or office; assisting customers with loaner cars; greeting our customers when they enter our service drive and working with the service manager on various customer-related tasks.
